Assessments & reports
Running an assessment
Start a read-only assessment of a connected customer from its page or the Dashboard, and follow its progress until the report is ready.
- Who can do this
- Member, Admin or Owner
- Plan
- All plans (uses one assessment)
- Time
- Minutes to about 2 hours, depending on tenant size
Before you start
- The customer is Active: its Core module is consented (or, for a legacy customer, admin consent is granted).
- You have assessments left this period.
Steps
Open Customers, select the customer and select Run assessment.
Or, from the Dashboard, select Run assessment, choose the Customer (only customers with active admin consent are listed) and select Start assessment.
You see “Assessment queued”. Open the run from Assessments or the customer's Assessment history to follow the Progress timeline: Requested → Dispatched to engine → Collecting data → Report ready.
The page updates every 10 seconds. You can close it: the assessment keeps running in the background.
What an assessment collects
Each run uses the customer's modules that are enabled and consented at that moment. Core always runs; the other modules' sections run after it. Everything is read-only.
| Tenant size | Typical duration |
|---|---|
| Under 500 users | 3–10 minutes |
| 1,000–10,000 users | 10–45 minutes |
| 10,000+ users, thousands of apps | Up to about 2 hours (later sections may be skipped for time) |
A run is capped at about 110 minutes. On very large tenants, sections that no longer fit in the remaining time are skipped with a reason rather than failing the whole run (Why a section was skipped).
Good to know
Each run uses one assessment from your plan. The Run assessment dialog shows how many you have left, and runs that fail on our side are refunded (Plans, limits and quotas).
Running the same customer again
Running a customer again soon after its last assessment usually returns the same findings and still uses one assessment from your plan. To catch accidental repeats, the portal checks when the customer was last assessed before it starts a new run.
- An assessment that is in progress or Completed within the window counts as recent. The window is measured from when that assessment was requested.
- Failed and cancelled assessments don't count (they produced no report), and neither do deleted ones.
- The default is to warn when the customer was assessed in the last 48 hours.
| Situation | What happens |
|---|---|
| An assessment for the customer is still queued or running | You see “Already running” and the portal opens that assessment. A second one can't start, whatever your role. |
| Assessed recently, mode Warn | The Assessed recently dialog shows when it was assessed. Choose View latest report, Cancel, or Run anyway. |
| Assessed recently, mode Block, you're a Member | Assessed too recently: the dialog shows when the customer can be assessed again (your local time). Ask an Owner or Admin if you need it sooner. |
| Assessed recently, mode Block, you're an Owner or Admin | Choose Override and run. You can add an optional reason (up to 300 characters); the override and the reason are saved in the audit log. |
The customer page also shows Last assessed and, while the customer is inside the window, a short notice next to Run assessment.
Changing the safeguard
Owners and Admins can change it; everyone else sees it read-only.
For the whole organization: open Settings › Assessments › Repeat-run safeguard. Set the Window in hours (or pick 24h, 48h, 72h or 7 days) and choose Warn or Block, then select Save.
For one customer: open the customer, find Repeat-run safeguard and select Edit. Choose Custom for this customer to set its own window and mode, or Use organization default to go back to the Settings value.
The window is at least 24 hours and at most 720 hours (30 days). The safeguard can't be turned off: the 24-hour minimum always applies, at least as a warning.
Scheduled assessments
Scheduled runs are deliberate, so the safeguard never stops them. They are still skipped when an assessment for that customer is already running (Scheduling recurring assessments).
What happens next
When the run shows Completed, open the report and download the Word and PowerPoint files: Reading the report.
Troubleshooting
The button is greyed out: “Available once the customer has approved the Core module.”
The customer hasn't finished onboarding. See Onboarding a customer.
“Admin consent required”
The customer's consent is missing or was revoked. Send a new link from the customer page (Re-granting consent).
“Assessment limit reached”
You've used this period's assessments. See your options.
“Not allowed”
Viewers can’t start assessments. Ask an Admin to change your role.
“Assessed recently”
The customer was assessed within your organization's window. Open the latest report, or select Run anyway if you really need a new one (Running the same customer again).
“Assessed too recently”
Your organization blocks repeat assessments for Members. Wait until the time shown, or ask an Owner or Admin to override.
“Already running”
An assessment for this customer is still queued or running. The portal opens it so you can follow its progress.
It has been queued or running for a long time
